Privacy for the Officials Comms MVP 1 pilot

This policy explains what the pilot product handles, why it is needed, and the choices available to participants.

What we collect

Officials Comms may process the name or display name you provide, your role, room and session identifiers, invite/join activity, connection status, and limited technical diagnostics needed to operate and support a realtime session. If you contact support, we receive the information you include in that message, such as device, operating system, headset model, and problem details.

The MVP 1 pilot does not require a persistent Officials Comms account and does not use third-party advertising or behavioral analytics.

Realtime crew audio

LiveKit processes crew audio in real time so participants can communicate. Officials Comms does not enable recording, transcription, or archival of crew audio in the MVP 1 pilot. LiveKit routes media through its realtime infrastructure and may process session and connection metadata needed to provide and secure the service. Participants should still treat the channel as operational communication and avoid unnecessary personal, medical, or confidential information.

Ask Rules and OpenAI

Ask Rules is available only to the participant assigned the referee role. Text questions, and voice content when voice mode is enabled, are sent to OpenAI to generate a response. Ask Rules is activated by the referee and is not designed to listen continuously. Officials Comms requests that text responses not be stored as OpenAI application state. OpenAI does not use API inputs and outputs to train its models by default, but may retain abuse-monitoring logs containing content for up to 30 days unless a different data-control arrangement applies. Ask Rules answers are informational and may be incorrect; the applicable rulebook and official judgment control.

Why we use information

We use information to create and operate private rooms, deliver realtime audio, provide Ask Rules responses, diagnose failures, protect the service, respond to support requests, and evaluate the MVP 1 pilot.

Service providers

We rely on service providers to operate the product, including LiveKit for realtime audio infrastructure, OpenAI for Ask Rules processing, OpenAI Sites and its infrastructure providers for this website, Amazon Web Services for email routing, and Apple or Google when the app is distributed through their stores. These providers process information according to their terms, data-processing commitments, and our service configuration.

Retention and deletion

Officials Comms does not retain crew audio. Room and participant state in the MVP 1 application is temporary and is not maintained as a persistent account record. Service providers may retain connection metadata, security logs, or Ask Rules content under their own retention schedules; OpenAI API abuse-monitoring logs may be retained for up to 30 days by default. We retain support and privacy correspondence for up to 12 months after an issue is closed unless a longer period is required for security, fraud prevention, disputes, or law.

You may request access, correction, or deletion of information associated with you by contacting us. We will verify and respond to a request as required by applicable law.

Security and limits

We use reasonable safeguards appropriate for an early pilot, but no internet or wireless service can guarantee absolute security or uninterrupted availability. Do not share room invitations outside the intended crew, and do not send credentials or secret keys through the app or support email.

Your choices

You may decline the pilot, stop using the product, leave a room, avoid Ask Rules, or request access, correction, or deletion of information associated with you. Device permissions for microphone, Bluetooth, and notifications can be managed in your phone settings, though disabling them may prevent core features from working.

No sale or targeted advertising

Officials Comms does not sell personal information, share it for cross-context behavioral advertising, or use it to serve targeted ads.

Children

Officials Comms is intended for officiating personnel and is not directed to children under 13. Do not use the product to collect information from players or minors.

Changes to this policy

We may update this policy as the pilot and product change. The effective date above will be revised when a new version is published.
